Step 1: Access Incoming Purchase Orders
- Navigate to the Purchase Orders section in Shopify using this link: Incoming Purchase Orders.
- Review the list of open purchase orders to identify items scheduled for delivery.
Step 2: Labeling Items
- Unpack Items: Carefully unpack the items from the shipment.
- Barcode Labels:
- Each item must be labeled with a barcode.
- Use the product’s existing barcode or generate a new one if necessary.
Step 3: Assigning Bin Locations
- Find or Create a Bin:
- Locate the plastic bin assigned to the item using the last three digits of the SKU.
- If no bin exists, create a new plastic bin and label it with the last three digits of the SKU.
- Place the Bin:
- Store the bin on one of the Metro Racks.
- Ensure it is placed on a shelf with a barcode label that serves as the bin location.
- Record the Bin Location:
- Update Shopify with the bin location in the following format:
Rack-Side-Shelf
(e.g., R1-A-S3 for Rack 1, Side A, Shelf 3).
Step 4: Counting and Checking Items
- Verify Quantities:
- Count the items in the shipment and compare them to the quantities listed on the purchase order.
- Ensure all items match the purchase order details.
- Check Items into the System:
- Using the Shopify Purchase Order system, mark the items as received.
- Record any discrepancies or damaged items directly in the system.
Step 5: Finalizing the Process
- Double-Check Placement:
- Confirm that all bins are correctly placed and that their locations are accurately recorded in Shopify.
- Update Purchase Order Status:
- Once all items are labeled, binned, and recorded, mark the purchase order as completed in Shopify.
Additional Notes
- Ensure all barcodes are clearly visible and securely affixed to the items.
- Use caution when creating new bins to avoid duplicating existing SKU numbers.
- Report any significant discrepancies or issues to a supervisor immediately.
By following these steps, you can efficiently process incoming purchase orders, maintain accurate inventory records, and ensure items are stored correctly.
